1.0 Privacy and Confidentiality Policy

  1. FSCHF recognizes the importance of an individual’s rights to keep personally identifiable information private. This “Privacy Policy” explains how we manage and safeguard personal information during the pursuit of our philanthropic work.
    • 1.1.1 We are committed to protecting the privacy of our staff team members, directors, officers, volunteers, independent contractors, vendors, donors and sponsor through ensuring that all personal information provided to FSCHF is treated with diligent due care and subject to this Policy and is not used or disclosed in ways which has not been consented to.
    • 1.1.2 We are dedicated to protecting the personal and private information of all of our stakeholders in relation to the collection, use, retention and disclosure of personal information.
    • 1.1.3 These principles are based on Canada’s Personal Information Protection and Electronic Documents Act.
    • 1.1.4 FSCHF does not sell or provide any personal information of our staff team members, directors, officers, volunteers, independent contractors, vendors, donors or sponsor to other business or philanthropic organizations.
    • 1.1.5 FSCHF does provide the personal information of our staff team members, directors, officers, volunteers, independent contractors, vendors, donors, or sponsor to government organizations as required by law.
    • 1.1.6 FSCHF does provide the personal information of our staff team members, directors, and officers to our Treasurer for payroll as required by law for employment purposes.
  1. FSCHF is accountable for all personal information placed within its control, including information under the direct control of FSCHF as well as personal information transferred to third party service providers for processing, storage, or other purposes that facilitate philanthropic work operations for FSCHF.
    • 1.2.1 FSCHF will use contractual or other means and measures to require third parties responsible for processing information on our behalf to maintain a level of privacy protection that is comparable to ours.
    • 1.2.2 Many individuals within the FSCHF are responsible for the day-to-day collection and processing of personal information, however, the Executive Director is the designated Privacy Officer who is ultimately accountable for the handling of all personal information under the control of FSCHF.
    • 1.2.3 The Executive Director is also responsible for ensuring that the principles set out in this policy are being complied with, including the training and instruction of employees and volunteers.
    • 1.2.4 In any case of breach of policy:
      • 1.2.4.1 Where a team member, volunteer, director, or officer is not in compliance they will be subject to disciplinary action up to and including dismissal, removal from or banishment from the FSCHF and its philanthropic activities.
      • 1.2.4.2 Where a third-party vendor is not in compliance, they will be subject to having contract(s) revoked and banishment from further activities with FSCHF and be excluded from holding contracts and participation in Requests-for-Proposals.
      • 1.2.4.3 In cases where it is warranted legal action will be recommended to the Board of Trustees by the Executive Director.
      • 1.2.4.4 It shall be the responsibility of the Executive Director for FSCHF to ensure that the Board of Trustees are duly informed of any breaches of this policy and actions taken and or recommended.
